Salary: £36,000 - £42,000

PA/Office Manager to Chair & Chief Executive 

E1, London 

£36,000 - £42,000 plus London Weighting £3,300 

Full Time Permanent 

 

We are seeking a Chair and Chief Executive Office Manager to join a lovely organisation relocating to refurbished modern offices in St Katherine’s Dock. They are looking for a Permanent Full Time PA/Office Manager to Chief Executive Office.  Successful candidates will have worked at this level previously. 

  

Key Responsibilities 

  • Provide full PA support to the Chair and Chief Executive, acting as a key contact 

  • Communicate with Ministers, Government departments, high ranking officials on sensitive and confidential matters 

  • Consult with members on wider business needs, following up actions 

  • Contact individuals in senior level positions, dealing with complex queries 

  • Regularly deal with key external stakeholders 

  • Constantly resolve conflicting priorities in the Chair and Chief Executive’s diary management 

  • Manage complaints from internal and external sources and ensure they are dealt with 

  • Project managing complex travel itineraries for the Chair and Chief Executive 

  • Prepare and coordinate complex briefing arrangements including researching, preparing drafts, commissioning input from senior staff and checking briefing documents 

  • Organise the company annual appraisal 

  • Prepare the Chair’s report as well as Corporate Update for all Board meetings 

  • Attend and minute high level meetings when required 

  • Line management of the Office Coordinator in the Chair and Chief Executive office 

  • Undertake ad hoc high-level tasks required 

  • Se clear behavioural standards for the team which motivates all 

  • Ensure effective and efficient services and setting clear performance standards 

  • Ensure the services, policies and processes delivered maximise opportunities for digital working 

  • Promote the businesses aims and values at all times 

 

Personal Specification 

  • Knowledge and an interest in culture 

  • Significant experience at a PA at a senior level with excellent admin and organisational skills 

  • Great interpersonal skills with the ability to act effectively and confidently on behalf of the Chair and Chief Executive in dealings with contacts at all levels of seniority 

  • Ability to work on own initiative with minimal supervision 

  • Highly organised, critical thinker with a methodical approach to work  

  • Computer literate with knowledge of Microsoft Office and the use of databases 

  • Line management skills
