Office Manager

Location: Wimbledon

Permanent Full Time

Salary: £35,000

A great opportunity to work with our prestigious client, the role will suit an experience Office Manager, who is used to being involved and getting to know people and being effective on a daily basis.

Responsibilities include;

  • Provide administrative support to Senior Management assist with letters, documents, spreadsheets & arrange meetings where needed
  • New Starters/Leavers;

? Induction/meet & greet/introductions on first day at work

? Communicate New Starter & Leaver notices to IT, Facilities, HOD’s, Internet Security Manager; using email template for instructions

? Coordinate & oversee staff moves e.g. communicate plans with IT, Facilities, HOD’s Staff members & update office seating plans

  • Monitor Rotacloud - Liaise with HOD’s & HR Administrator to ensure adequate staff levels in all departments over weekends/public holidays
  • Attendance Reports; liaise with all HODs/Line Managers/HR Administrator
  • Monitor Visitor calendar bookings & liaise with Security Teams to meet & escort
  • Supervise condition of Guests Rooms & organise maintenance & cleaning as needed & ensure open & set up ready to receive guests & shut down as soon as guests off site - ensure correct signage posted to rooms
  • Supervise meeting room bookings run smoothly liaise with Facilities supplies/cleaning
  • Organise Office Parties; Xmas & Summer Parties
  • Order office supplies, stationery, facilities & canteen supplies / upon approved quotes
  • Monitor & check facilities machines are working order, e.g. canteen appliances, coffee machines, water dispensers & report faults to Facilities immediately
  • Liaise with IT Team reporting any system issues
  • Ensure health & safety policies are up to date & liaise with Facilities Manager to update
  • Maintaining office policies; e.g. dogs at work, COVID-19 hygiene procedures,
  • Update Account ledgers for expenses & petty cash/Credit Card
  • Organise couriers bookings, postage, collection & deliveries
  • Manage office subscriptions to non-production online resources - e.g. FT, Times, etc
  • Deal with incoming phone calls & passing on messages
  • Oversee incoming & outgoing post & deliveries & coordinating pick ups by staff
  • Assist & coordinate meeting rooms/resources required for general meetings & Training
  • Assist & coordinate staff training liaising with Line Managers & HR Team
  • Assist & Coordinate Gym Induction/collect signed Disclaimers/Waiver & update records

Hours Mon -Fri 9.30 - 6.30
