Receptionist/Administrator

Location: Canterbury

Permanent Part Time

Salary: £Salary - Competitive

Part Time - Wednesday - Friday

REPORTING TO: Office Manager/Branch Partner KEY JOB RESPONSIBILITIES/DUTIES:

  • Maintaining a tidy reception area; dealing with members of the public in person, responding to calls on the switchboard, taking messages and general reception duties;
  • Providing administrative support to fee earners and secretaries, audio typing, filing, bulk photocopying, preparation of court bundles, sewing wills, archiving etc.;
  • Using the Outlook calendar system to book meeting rooms;

· Managing both the incoming and outgoing post, opening, franking, stamping and taking to post office and/or delivering letters by hand;

· Taking the daily banking as required;

· Assisting the Office Manager with stationery requisitions;

  • Organising and preparing refreshments for meetings, training sessions and visitors; clearing up afterwards;
  • Ensuring kitchen and rest rooms are adequately stocked at all times with necessary supplies; shopping for office consumables such as tea, coffee, milk etc., as required;
  •  Any other duties as may be reasonably required;
  •  To comply with all the Firm’s relevant policies and procedures;
  •  To ensure confidentiality on all appropriate matters and recognise that any breach of this confidentiality will be treated as a serious matter.

Previous Experience

  • Audio typing, administration, Reception/front of house
  •  Previous experience of working in a legal environment preferred

Specialist Skills/ Ability/Knowledge

  • Previous experience operating a switchboard
  •  Accurate typing ( 50 wpm +)
  • Good working knowledge of MS Office including Word, Excel and Outlook
  • Familiar with Digital Dictation for audio transcription (Bighand)
  • Some previous use of a Case Management System would be preferred
