Location: Putney

Permanent Full Time

Salary: £ 22,223

Monday - Friday 9-5

As Junior Administrator you will have a minimum of 1 year’s relevant office experience, providing office administrative support. Progressive role which offer an opportunity within Finance.Working within a team of 8.

Key responsibilities as a Junior Administrator

Answering the telephone calls and directing calls.

Sort internal & external mail, manage and respond to electronic mail.

Ensure kitchen and Meeting room are adequately stocked at all times with necessary supplies; shopping for consumables such as tea, coffee etc. as necessary.

Manage both the incoming and outgoing post, stamping and taking to post office/collection point.

Take the daily banking and managing incoming remittances.

Scanning, copying, keeping office printer/copier stocked up.

Organise refreshments for meetings and visitors.

Book meeting rooms through Outlook calendar system.

Provide holiday and sickness cover for PA to Bursar General and Director of Finance.

Placing orders with external suppliers and dealing with file enquiries from other staff members.

Any other duties as may be reasonably required to ensure the smooth running of the office.

To ensure confidentiality on all appropriate matters and recognise that any breach of this confidentiality is a serious matter.

Updating income and payments schedules, saving supplier invoices electronically, chasing outstanding invoices and sending remittance advices to suppliers.

Person Specification for a Junior Administrator

Experience in Microsoft Office programmes (Word, Excel, Outlook, PowerPoint) - Intermediate.

Willingness to learn and utilise new systems.

Good with numbers and mathematically competent.

Experience of dealing with people at all levels in person, on the telephone and by using electronic means.

Experience of meeting deadlines and working in a pressurised environment.

Very high standards of accuracy and presentation.

Excellent organisational skills and able to prioritise & multitask.

Excellent communication skills both verbal and written.

Co-operative and collaborative team member.

Able to work proactively on own initiative and prioritise workload.

Enthusiasm for developing work skills and job specific knowledge for self and team.

Attention to detail.

Able to use own initiative and must enjoy challenges.

Build positive relationships with internal and external stakeholders.
