Administrator
Location: Aylesford, Kent
Permanent Full Time
Salary: £28-£30k
Monday - friday 8am-5.30pm fully office based
Based in Aylesford Kent, the role of the Administrator is to provide ongoing administrative support to the wider team.
The Office Administrator will report to the Office Manager and support the business with a wide variety of administration and office management tasks.
The role requires someone who can prioritise workload and stay on top of reoccurring tasks, as well as providing reactive ad hoc support. A flexible and motivated self-starter would do well in our team.
5 days in office. Hours 8am - 5.30pm with some flexibility dependant on business needs.
Main Responsibilities include but are not limited to:
General Tasks
- Supporting Office Manager in tasks and projects as required
- Ad-hoc minute taking
- Ensuring documents are properly stored on SharePoint
- First point of contact for visitors
- Receiving emails, post and parcels, distributing to the relevant teams and logging
- Assisting with general queries internally and externally
- Booking hotels and travel
- Booking hire cars for employees
- Ordering PPE and managing stocks of equipment. Overseeing that the orders arrive and are distributed in a timely manner.
- Ad-hoc processing of invoices and requesting PO’s
- Supporting the arrangement of events
- Ensuring office supplies are available and in place
- Ensuring the office environment is safe and tidy with all facilities available for staff
- Potentially a First Aider and Fire Warden
- Being a point of contact for employees
Fleet Management
- Updating file with vehicle paperwork as required.
- Ensuring all vehicles MOT’s are up to date.
- Organizing vehicle signage
- Ensuring dart charge and congestion charge accounts is up to date and all vehicles on the account is updated and checked on weekly to ensure payments is done if dart charge and congestion charge is used.
- New vehicle management, including Taxing the vehicle and keeping MOT’s up to date. Ensuring the vehicle is added to the AA coverage Dart Charge and Congestion accounts
- Arrange tracker installation
- Arrange repairs/general maintenance when needed.
- Allocate fuel cards and maintain register/log.
