About the Role
Our client is looking for a highly organised, detail-focused Marketing Operations Assistant to join their Exhibitions & Events team. This is a predominantly administrative role and not a marketing role.
You will work closely with the marketing, sales and operations teams. The ideal candidate takes pride in getting the details right, enjoys structure and process, and is confident managing multiple deadlines at once.
What We're Looking For
- Previous experience in an administrative, coordinator or office support role.
- Excellent attention to detail and a high level of accuracy in data entry, proofreading and record-keeping.
- Strong organisational skills, with the ability to manage multiple deadlines and priorities.
- Confident user of Microsoft Office, particularly Excel, Word and Outlook.
- Clear, professional written and verbal communication.
- Able to work full-time from the Wimbledon office, with occasional onsite event days
Key Responsibilities
- Carry out general administrative tasks, including data entry, reporting, document management and internal communications.
- Maintain accurate CRM and website information, working with the sales, operations and marketing teams.
- Prepare contracts, check they are within budget, obtain approvals and follow up to ensure they are returned on time.
- Update manuals, FAQs and website content so that information is always correct.
- Help prepare presentations, materials and reports for internal and external stakeholders.
- Act as a point of contact for visitors, exhibitors and sponsors before and during events.
- Respond to enquiries promptly and record all interactions accurately in the CRM.
- Keep the online exhibitor portal accurate and working correctly.
- Help ensure sponsor contracts, benefits and branding are delivered as agreed.
- Support the delivery of ‘Marketing through Exhibitors’ campaigns, tracking deadlines and communicating with exhibitors and sponsors.
- Gather and schedule exhibitor content for our social media channels.
- Attend project and team meetings to stay up to date on event logistics and share client feedback.
- Assist with the coordination of fringe events alongside the main programme.
- Assist with speaker logistics, including scheduling, communication and onsite coordination.
- Provide onsite support at events, handling exhibitor enquiries and working with the event team to resolve issues quickly.
