Executive Assistant / Operation Manager

Up to £50,000 – SE1

Our global client is looking to recruit an experienced Executive Assistant/Operation Manager. This position is based in SE London working at the European Head Office of one of the largest Media Services group in the world.

Key Responsibilities

  • Your role will be to proactively take full responsibility for management of the President diary and mailbox, organise and plan meting and events
  • Perform a variety of complex tasks, including co-ordinating projects on both a large and small scale, organising and co-ordinating internal and external events and other project management led tasks
  • Ensure that the President is fully prepared and prompted ahead of key meetings, preparing context and background information documents as required
  • Intricate calendar management across various time zones, autonomously managing the President’s time
  • Track and manage the team budget for all programmes and initiatives
  • Manage new business database using Salesforce CRM platform
  • Act as the first/key point of contact for agencies needing business development insight and connections across the network and support the President with materials and management of multi-agency and holding company pitches

Skills and Experience:

  • Flexible and adaptable – able to use initiative
  • Highly motivated and assertive individual with ability to work to tight deadlines with minimal supervision
  • Strong interpersonal and excellent written and oral communication skills
  • Collaborative team player mentality and ability to work effectively in small groups
  • Organised and proactive with a ‘can do’ attitude
  • Excellent calendar management skills, including coordination of complex executive meetings and audio/web conferencing; experience scheduling global travel arrangements
  • Strong knowledge of MS Office skills - Word, Excel, Outlook, and PowerPoint
